The obligation to organize employee health checks arises from the Occupational Health and Safety Act. The employer must arrange health checks for employees whose health may be affected by the workplace hazards or the nature of the work process, and bear the associated costs.
The health check-up service is provided by an occupational health doctor. The purpose of the service is to assess the employee’s health condition, the suitability of the work environment or work organization, and to identify any work-related illnesses or potential occupational diseases. Below is useful information for the customer ordering the health check-up service.
The first step is to begin with a workplace risk analysis. During the risk analysis, it is determined whether there are any health hazards in the work environment that could affect employees’ health and to identify which employees need the health check-up service.
The health check service is provided by a work health service provider registered with the Health Board. Here are some examples to help find a service provider:
1. Is the service organization and the location of the service provider suitable?
It must be taken into account that the health check is carried out during working hours and at the employer’s expense.
2. Cheap may not be beneficial.
Does the service include hidden costs?
3. It must be considered that the result of the health check depends on the quality of the service:
The process of service delivery, technology, professional level of staff, politeness, speed of service, and attentiveness.
4. Find a reliable service provider whose service complies with regulations and contract terms, who has no tax debts, and who has long-term experience.
If the service provider’s company is deleted after the service is provided, who should be contacted regarding occupational diseases or workplace accident issues? Who issues a duplicate of the lost occupational health decision?
5. Does the service provider offer occupational health analysis services?
According to the amendments to the Occupational Health and Safety Act effective from 01.01.2023, employers are required to arrange a comprehensive occupational health analysis for the company. Employers must take into account that employee health check data is necessary for analyzing the impact of the working environment on employee health. If the health check data is incomplete or missing, the analysis cannot be carried out, which may also affect the proper fulfillment of occupational health obligations.
1. Download the list form from the Mediserv website.
Create and submit the list to the service provider at least three days before the scheduled health check. Please ensure that you allocate 15 minutes per employee for the health check and plan for a lunch break from 12:00 to 12:30. The submitted data will be uploaded to the e-clinic.
Note: Lists completed on paper and scanned as image files are not suitable for submission.
2. Provide the employee with the health declaration form either in person or by giving instructions to download it from the website.
The employee must complete the health declaration form before the health check and bring it with them.
After the health check, the occupational health doctor will issue a health check decision form (Regulation No. 87 “Procedure for Providing Occupational Health Services”) to the employer, which may include the doctor’s recommendations for changes in the work environment or organization, as well as suggestions for improving the employee’s health. The health check decision will be sent to the agreed-upon contact person’s email within 7 working days after the health check.
The employer must retain the health check decisions for 10 years after the employee’s termination of employment.
